Do not label a monthly fee as a “deposit” or a project kickoff payment as a “retainer” unless your contract uses those words the same way. Clients read the line item; vague synonyms create refund and scope fights later.

Excel patterns that stay honest

  1. Yellow inputs / gray totals — client, project or period, deposit % or retainer fee; formulas for tax and amount due.
  2. One invoice number per cash event — deposit INV-1040, balance INV-1041, September retainer INV-1042.
  3. Never reuse a paid PDF — duplicate the template row; change the number, dates, and line labels.
  4. Log billed vs received — deposits and retainers both matter for quarterly estimates; cash received is not the same as invoices sent.
