Quarterly estimated taxes checklist for freelancers
If you bill clients and no one withholds federal income tax, you may owe quarterly estimates. This is a practical checklist — not tax advice. Confirm amounts with IRS Form 1040-ES, Pub 505, or a preparer.

2026 due-date rhythm (typical)
| Period covered | Typical due |
|---|---|
| Jan 1 – Mar 31 | April 15 (or next business day) |
| Apr 1 – May 31 | June 15 |
| Jun 1 – Aug 31 | September 15 |
| Sep 1 – Dec 31 | January 15 of following year |
Holidays and weekends shift the exact calendar day. Check the IRS estimated tax calendar before you pay.
Pre-payment checklist
- Sum gross receipts for the quarter (invoices paid, not just sent)
- Subtract ordinary business expenses you can document (mileage, software, supplies, home office if eligible)
- Estimate self-employment tax on net earnings plus income tax on taxable income
- Compare against safe harbor (often 100% of last year’s tax, or 110% if AGI was high — confirm current rules)
- Pay via IRS Direct Pay / EFTPS / Form 1040-ES voucher; keep confirmation numbers
Where people underpay
- Logging invoices sent instead of cash actually received
- Forgetting Q4 / January payment after a strong holiday quarter
- Mixing personal and business spending so expense totals are guesswork
- Ignoring state estimated taxes when the state requires them
Apps vs a workbook
Full bookkeeping apps (FreshBooks placeholder, QuickBooks Self-Employed placeholder, Wave) help if you want bank sync. A one-time Excel invoice + expense workbook is enough when you already track receipts in sheets and just need clean quarterly totals. Pair with a date-aware mileage log if you drive for work — see 2026 mileage rates.
Keep invoice + expense totals in one workbook (Yellowcell)
Yellowcell’s Sole Ledger invoice + expense kit is built for freelancers who want billed amounts, paid amounts, and write-offs in Excel — useful when you assemble quarterly estimate math. Add the free 2026 mileage log if car miles are part of your deduction stack.
