Wave vs Excel invoice
Wave markets free core invoicing and bookkeeping. An Excel invoice kit is a file you own — PDF out, payment terms you write, expenses and mileage in the same workbook. Freelancers usually need one clear default, not two half-finished systems.

Who this comparison is for
- Sole props and freelancers billing a handful to a few dozen invoices a year
- People comparing “free online” Wave against a one-time spreadsheet kit
- Anyone tired of stacking SaaS logins when clients already pay by ACH or check
Side-by-side
| Wave | Excel invoice kit | |
|---|---|---|
| Invoices | Hosted, client-facing, status in the product | PDF/print from a workbook you control |
| Payments | Optional pay links / processors (fees when money moves) | You state ACH, link, check, or card in the terms |
| Books & mileage | Free bookkeeping basics + receipts in Wave | Expense + 2026 mileage sheets alongside the invoice |
| Cost | Free core; payments and add-ons cost money | Free DIY or one-time template — no monthly seat |
| Ownership | Data lives in a Wave account | Your .xlsx on your drive / backup |
| Best if | You want a free portal and bank-ish sync | Low volume, offline control, one file for tax season |

When Wave wins
- Clients expect a pay-online button without you pasting a separate payment link
- You want invoice status, reminders, and a simple P&L without building Excel habits
- You are fine with Wave’s payment fees when cash actually needs to move
- You prefer a free SaaS login over owning a local file
When Excel wins
- A small client list and you already email PDFs or ACH instructions
- You want invoice + Schedule C–style expenses + date-aware 2026 mileage in one workbook
- You refuse another subscription after domains, email, and tax software
- Offline access and “this file is mine” matter more than live invoice status
Common trap
Running Wave for invoices and a separate sheet for mileage — then guessing quarterly totals. Pick one system of record for billed amounts, paid amounts, and write-offs, or deliberately sync both on a schedule.
