What every retainer invoice needs

Excel patterns that stay clear

  1. One invoice number per period — INV-1042 for September, INV-1043 for October; do not edit last month’s PDF in place.
  2. Separate overage line — “Overage 3.5 hrs × $X” under the retainer fee so the flat fee stays obvious.
  3. Paid vs billed columns — for your books, log cash received separately from invoices sent (matters for quarterly estimates).
  4. Yellow inputs / gray totals — client name, period, fee, hours used; formulas for tax and amount due.
